The ideal candidate will be a proactive multitasker who thrives in a fast-paced environment, is comfortable with various software systems, and has excellent communication skills. Prior experience with permitting, dispatching, or coordinating trades teams is a strong plus. Key Responsibilities • Dispatch & Scheduling: • Assign jobs in ServiceTitan for optimal fit and maximum opportunity. • Monitor Buffalo and Rochester teams, adjusting schedules and communicating in real time. • Call customers to schedule appointments and follow up on open or unfinished work. • Schedule inspections, utility disconnects/reconnects, callbacks, and final inspections. • Ensure job readiness for electricians with complete packets, materials, and forms. • Coordination & Job Support: • Maintain the Electrical Sales Tracker to monitor jobs from proposal to completion. • Prepare job packets including proposals, material lists, surveys, permits, and inspection forms. • Coordinate with sales reps, vendors, inspectors, utilities, and municipalities. • Print and compile job documents and upload necessary PDFs to ServiceTitan. • Ensure all required photos, permits, and approvals are completed prior to job close. • Permits & Utilities: • Submit permit applications, verify signatures, track payments, and communicate with municipalities. • Use GIS tools to verify municipalities and assist in generating parcel maps. • Request and track utility service orders, including job numbers, planners, and schedules. • Materials & Inventory: • Verify material lists, order from vendors, and manage stock through consignment. • Process daily material requests and handle special orders via Amazon or other suppliers. • Coordinate deliveries to warehouse or job site based on project needs. • Documentation & Reporting: • Use Microsoft Word, Excel, PDF Escape, Outlook, Teams, and ServiceTitan to maintain accurate records. • Maintain receipts in Expensify and complete monthly expense reports. • Ensure all jobs are closed properly in the tracker, including inspections, permits, and utility verification. • Customer Service & Quality Control: • Resolve customer complaints professionally and escalate recurring issues to management. • Monitor callbacks and job issues; ensure prompt resolution and feedback loop for improvement.
