Travel Construction Coordinator – Commercial HVAC/R Location: Sulphur Springs, TX (Office-based) About Us: Wood Air Conditioning & Plumbing is a leading Commercial HVAC & Plumbing company with decades of proven success serving national clients like Walmart. While our elite traveling HVAC/R teams are out in the field completing large-scale refrigeration and installation projects, we need a skilled and detail-oriented Travel Construction Coordinator in our office to keep everything running smoothly behind the scenes. Position Overview: The Travel Construction Coordinator will play a key role in supporting our traveling HVAC/R crews by managing logistics, coordinating with subcontractors, and handling administrative tasks that keep projects on schedule and within budget. This position requires excellent organizational skills, strong communication, and proficiency with Microsoft Office (especially Excel). Experience with NetSuite or Paylocity is a plus. Responsibilities: • Schedule and coordinate travel for field crews, including vehicles and hotels. • Manage permits, licensing, and compliance documentation for job sites. • Communicate with subcontractors, vendors, and clients to confirm schedules and requirements. • Process and track purchase orders, invoices, and job-related expenses. • Maintain accurate project records and crew schedules. • Support payroll and per diem processes for traveling employees. • Prepare Excel reports for job costs, travel budgets, and expense tracking. • Assist project management with other administrative needs related to field operations. Qualifications: • 2+ years of administrative, operations, or office management experience (construction, HVAC, or related industry preferred). • Proficiency in Microsoft Office Suite, with strong Excel skills (formulas, reporting, spreadsheets). • Excellent organizational and multitasking abilities. • Strong written and verbal communication skills. • Experience with PDF editing, NetSuite, or Paylocity is a plus. • Ability to work in a fast-paced environment supporting multiple teams.
