Job Overview Administrative Assistant will be responsible for assisting in all activities regarding the management of employees' compensation. The job involves calculating and processing employees' paychecks, maintaining payroll records, and ensuring compliance with payroll laws and regulations. This position also updates payroll records and resolves discrepancies. This role will also generate reports for expenses. Responsibilities and Duties • Entering employee time and attendance data into the UKG payroll system, including hours worked, overtime, and vacation time. • Checking employee timecards for accuracy. • Maintaining employee payroll information with strict confidentiality. • Ability to maintain accurate records of employee's hours. • Ensuring payroll processes adhere to all relevant labor laws and regulations. • Clear and professional communication with employees regarding payroll issues and inquiries. • Assist employees with Lack of Work Unemployment claims. • Effectively communicate with other employees, departments, and all levels of management. • Generating and distributing payroll reports to management, including earnings summaries, tax reports, and other required documentation. • Generating and distributing daily, weekly and monthly internal plant reporting gathered from various sources. • Scheduling automatically run reports in Oracle. • Ad-hoc reporting and investigations as needed. • Backup to daily shop traveler paperwork printing and distribution. • Assist with management of annual physical inventory. • Monthly dock audits and cycle count audits. • Data Entry, Scanning and filing, internal mail. • Ability to manage multiple tasks and deadlines effectively. • Maintain a clean and safe workplace in accordance with company policies and in line with company core values. • Ability to work in a fast-paced environment. • Ability to work independently as well as part of a team. • Other duties as assigned. Qualifications • High School Diploma or GED. • 5 years’ experience in Payroll and Accounting is preferred. • Demonstrated proficiency with Excel (graphing, pivot tables, functions, etc), Word and other Office 365 software. • Other software: Oracle, BI, Esker, Foxit .pdf editor, Prism, UKG. • Solid understanding of general ledger posting, account reconciliations and accounting rules. • Excellent attention to detail. • High level of accuracy in data entry and calculations to prevent payroll errors. • Exceptional mathematical and calculation skills. Comfortable with basic math and calculations to process payroll accurately. • Ability to work with a team. • Previous experience with Work Day and UKG is a plus. • Excellent time management skills are essential to success in this position. Physical Demands and Work Environment • Physical capabilities include, but are not limited to: frequent walking and standing, occasional twisting, stooping, carrying, pushing, and pulling, and lifting 20-35 lbs. • There will be time you will need to enter the manufacturing production environment with some (but not all) climate-controlled areas. Personal protective safety equipment must be worn, and proper safety precautions must be observed. • While performing the duties of this job, employee regularly stands, sits, and walks for the duration of their shift.
