Roofing / Solar Back-office Support

Job Title: Roofing / Solar Back-Office Specialist Location: Remote (optional office space in Clearwater, FL) Type: Full-Time About the Role We’re hiring a dependable, detail-oriented Back-Office Specialist to support both the operational and sales sides of our roofing and solar business. This is an admin-heavy role that involves scheduling work, supporting field teams, managing inbound leads, and maintaining our sales pipeline. You'll work closely with the roofing and solar foremen to keep jobs organized and with prospective customers to provide quotes and move deals forward. Key Responsibilities Operations & Admin Support • Coordinate job scheduling with roofing and solar foremen. • Prepare job folders, permit applications, and work orders. • Track material orders, delivery timelines, and inspections. • Maintain organized project documentation and digital records. • Keep internal tracking systems and spreadsheets updated. Customer & Crew Communication • Answer inbound phone calls and emails from customers and vendors. • Provide updates on scheduling, inspections, and job timelines. • Relay updates and job info to internal crews and supervisors. • Follow up with customers post-job for feedback and documentation. Sales Support & Lead Management • Respond to new inbound leads from the website or phone within a timely manner. • Qualify leads and gather project information. • Prepare and send basic quotes for roofing or solar work. • Maintain the Deals Board, tracking progress from initial contact through closing. • Assist the owner and sales team in keeping follow-ups on track. What We're Looking For • Experience: • 2+ years of admin or back-office experience in roofing or solar (both is a plus). • Experience with customer service or basic sales support is highly valued. • Skills: • Strong organizational and multitasking abilities. • Excellent phone and written communication skills. • Comfortable with spreadsheets, CRM tools, and scheduling platforms, particularly Hubspot • Work Style: • Self-starter who can stay on top of tasks in a fully remote role. • Team-oriented and able to coordinate with both office and field staff.
