Position Overview: The Project Assistant plays a key role in supporting the estimating and project management teams throughout the lifecycle of a construction project. This role ensures timely and accurate coordination of documentation, systems, and communication with internal staff and external partners. This position is located at our Sioux City, IA location operating as L & L Builders. Key Responsibilities: • Maintain the ISQFT database, ensuring all bidders and vendors are entered into the system. • Help monitor the estimating email inbox, printing, distributing, and organizing bid documents; submit bid forms for approval and signature. • Set up project folders for the estimating department on awarded projects. • Request and retrieve plans for upcoming project and create projects in ISQFT. • Obtain bid bonds, request insurance reviews, and keep plan holders lists updated. • Call vendors to confirm bid participation and help coordinate communication on bid day. • Prepare bid forms, route for approval and signatures, and distribute final forms. • Draft subcontracts and purchase orders; track reviews with project managers and route finalized documents through DocuSign. • Set up and maintain project information in Procore throughout the project lifecycle. • Assist with meeting agendas, minutes, and jobsite administrative support as needed. • Hel prepare RFIs, RFPs, and other project-related communications. • Contact subcontractors weekly to resolve paperwork, submittals, or closeout issues. • Monitor insurance certification compliance for all subcontractors. • Prepare and submit closeout manuals and enter punch lists into Procore, assigning workflows as appropriate. • May perform other duties as assigned.
