HVAC Service Coordinator (Previous Office Experience Required)

Looking for a self-starting individual who can work independently in organized chaos. Able to pivot on a dime when new demands come in, adjust all tasks accordingly by high priority to low and then get back to completing your duties. Excellent customer service skills to answer phone calls, take questions and fielding complaints with calmness and compassion for our customers, which include residential, commercial and industrial. Able to work with all types of people and be part of the support staff that is proactive in assisting others to get the tasks completed. Always making sure that the clients are called back in a timely manner to keep them informed as to status of call, etc. Scheduling of service calls and dispatching the proper service tech that will handle it best, while able to be flexible enough to rework this schedule and refocus assets as other calls come in. Follow through to make sure each call is completed and then billed out. Computer skills are necessary as you must be able to enter service calls, send it to the tech, log in time daily to submit it for payroll, and bill out the service ticket when complete. This includes accounting for all labor hours, transferring items from stock to the service ticket, listing of items purchased to complete the ticket and then billing it out to the customer. Attention to detail is a must. Equipment used would be telephones, desktop computer, smart phones/tablets, copier, fax and scanner. Coordinate returns and warranties of parts and materials. Mailing of service agreements and statements with possible collection calls required. Ordering of parts and assisting in service work quotes that would free up the techs and managers to perform the actual service. Calling for pricing when required to complete a quote or billing. Filing and organizing of paperwork.
