Customer Service Rep Duties • Maintain the service operations • Answer phones/schedule appointments/put in work orders • Oversee the schedule for the day/week/month on the computer and desk o Call customers to confirm/remind appointments for following day • Oversee techs schedule and dispatch the techs as call are completed o Texting techs for ETA’s if needed o Calling customers when tech is on his way o Keeping customers updated if unable to keep their appointed time • Maintain/update the customer/site information on the computer • Create and print detailed work orders • Assist with techs daily paperwork • Scan and file paperwork • Prepare customer invoices • Ensure customer 100% satisfaction • Maintain customer filing system • Retrieve messages from voicemail and return customer calls to schedule appointments • Assist customers in decision making • Handle customer retention • Assist “walk-in” services • Handle inspections o Maintain inspection list o Print monthly inspection work orders o Schedule inspections with technicians and customers o Scan and send report copies to customers o Verify invoice amounts with managers (watch for additional work done, which is to be billed in addition to the inspection) o Prepare and send invoices for inspections • Request certificates of insurance as needed • Handle issues with the company vehicle GPS system • Handle collection issues o Track customer payments • Other duties as assigned Daily – • Answer calls o Customer service is paramount o Work with service department manager to schedule work • Prepare invoices • Schedule inspections • Assist service department manager with quotes • Work with service department manager to monitor the work schedule • Copying, scanning, filling out, emailing, and tracking down various paperwork • Follow up calls for collecting payment from customers Weekly - • Filing o Pull invoices from box and put equipment and/or inspection work orders into system o Scan and file into customer and/or alphabetical files Monthly – • Invoicing • Accounts Receivable Wente Plumbing is an equal opportunity employer.
